Introduction for billing managers

You've been added to your account as a billing manager, which means you can access the account's billing information, payment history, and Stripe payout reports if available. Use this guide to familiarize yourself with all you now have access to.

View and update billing information

Billing managers can view and update the account's billing information, such as payment frequency, payment method, and more.

  1. Select Billing in the top navigation in Account settings.

  2. Choose Billing Info on the left.

  3. Select Edit in the Subscription section to update your payment frequency. You can make payments monthly, quarterly, every six months, or annually.

  4. Select Edit in the Card information section to update the account's payment method. Remove the existing card and re-enter the card information.

  5. Select Edit in the Billing address section to update the account's billing address. This address determines whether or not you are required to pay sales tax.

Upload a tax exemption certificate

If your church is located in a state that charges sales tax, and churches are exempt, upload a tax exemption certificate in the Sales tax exemption certificate box.

Important

Your tax exemption status is based on the account's billing address. If you do not see the box and believe you should be exempt, update your billing address.

  1. Select Billing in the top navigation.

  2. Choose Billing Info on the left.

  3. In the Sales tax exemption certificate box, select Upload certificate.

  4. Enter an optional document title that will be used for your reference.

  5. Upload a PDF, JPEG, or PNG file.

  6. If your tax exemption certificate expires, enter the expiration date in the Expiration date box. If it does not expire, turn off the expiration date toggle.

  7. Select Upload.

After your tax exemption certificate is uploaded, it will be reviewed. If approved, you will no longer be charged sales tax. For more information on sales tax, check out the sales tax article.

Need to change the account's billing email?

Billing managers receive billing emails to the address(es) listed on their profile. To change which email receives billing emails, a manager or editor in People can update the billing manager's profile, or an organization administrator can add a new billing manager.

View payment history and receipts

Billing managers receive an emailed statement or receipt for each transaction on the account. Organization administrators and billing managers can access these statements from the Payment History tab on the Billing page.

  1. Select Billing in the top navigation.

  2. Select Payment History on the left.

  3. Choose a date to view the details of that payment or print the receipt.

Notice

For card payments, you can access receipts without logging in by visiting the charges page and entering the last four digits of the card used and your billing zip code.

View Stripe payout reports

As people donate money in Giving or make payments in Registrations, money accumulates in your Stripe account. As transactions clear, Stripe deposits these funds to your bank (minus Stripe's processing fees). Stripe calls these payouts. While all Stripe account settings are managed directly in Stripe, you can view Stripe payout reports in Planning Center for an overview of each deposit.

Depending on your permission level, follow the steps below to access Stripe payout reports in account settings.

In these reports, the Stripe Payout is divided into sections for Registrations, Giving, and Other Stripe Income (money received outside of Planning Center).

The Giving section shows a breakdown by fund, and the Registrations section shows the amount each event raised.

Tip

Although the Stripe payout reports show helpful summary information, they do not report at the transaction level. For Giving, per-donation details are available in the Stripe Payout Reports in Giving. For Registrations, the best place to get itemized details is directly in your Stripe account.

Organization administrator requests

The following requests to Support can only be made by organization administrators:

  • Data removal or corrections you can't make yourself (undo old CSV imports, iCal imports, etc)

  • Request promotional pricing (legacy plans, church plants, Giving contract promotion)

  • Gain access to anything that was created and managed by someone else in the account

  • Restore or fully delete a canceled account

  • Disconnect a Stripe account

  • Request access to Giving (if there are no current Giving administrators in the account)
